Position Summary

The Administrative Assistant will join the Legal Operations team and be a key member of the Legal & Compliance team at F5. This role will support the department on an administrative and functional level. The successful candidate will possess the ability to independently complete a high volume of tasks and projects quickly with little guidance, react with appropriate urgency and prioritization, and solve problems working collaboratively with others in the Legal department and across the enterprise.

Primary Responsibilities

  • Support the Legal & Compliance team on F5 tools with tasks such as travel and expense reporting, booking travel, click-through documents, DocuSign packages, CLE tool access, new vendor onboarding, and purchase orders.
  • Assist in onboarding new Legal & Compliance employees and maintain the onboarding documents.
  • Maintenance of the Legal & Compliance team’s internal and external Sharepoint sites.
  • Update internal Legal & Compliance team documents when needed.
  • Administer the e-billing tool used to manage outside counsel billing and expenditures including assisting the Legal & Compliance team and outside law firms with inquiries.
  • Develop initial drafts of legal correspondence and coordinate signatures on behalf of the Legal & Compliance team when needed.
  • Assist in the data entry and maintenance of the legal entity database as well as data entry of Privacy Impact assessments.
  • Liase with enterprise-wide training owners across F5 to maintain the enterprise-wide training calendar.
  • Perform training administration using the F5 learning management system for required training for the Legal & Compliance teams and assist with communications for training deployments.
  • Assist in planning on- or off-site team events. Includes: Coordinating guest speakers, slide presentations, and logistics (e.g., ordering lunches, reserving conference space, etc.).
  • Meeting set up for internal and external meeting participants (virtual and in person) including logistics (food, restaurant, and facility reservations).
  • Distribution and/or scanning of correspondence for the Legal & Compliance team.
  • Provide direct support to department leaders and General Counsel on an as needed basis.
  • Assist with special projects as needed.

  • Strong organizational skills, takes ownership of tasks, and manages work to completion.
  • Anticipate the department’s needs and takes action with the best interest of the team in mind.
  • Ability to adapt to various work styles and working effectively with various levels of management.
  • Client-service oriented, creating effective working relationships with internal stakeholders, vendors, and outside counsel.
  • Open to change and can learn quickly when faced with new opportunities and challenges.
  • Independent thinker who makes sound decisions in a fast-paced, dynamic environment.
  • Skilled at using time effectively while managing multiple projects, prioritizing appropriately, and meeting tight deadlines.
  • Able to communicate clearly and concisely in a variety of settings and styles.
  • High level of professionalism, integrity, and discretion in handling confidential information is required.

Qualifications

  • 3-5 years of administrative support experience
  • Certified Notary Public or willing to obtain license if not already licensed.
  • Excellent computer skills, including proficiency in MS Office applications, e.g. Excel, Word, Sharepoint, PowerPoint, Outlook.
  • Requires minimum of 4 days per week working from the F5 Tower in downtown Seattle with flexibility to work 1 day/week remote as agreed upon with manager.

The annual U.S. base pay range for this position is: $54,168.00 - $81,252.00

F5 maintains broad salary ranges for its roles in order to account for variations in knowledge, skills, experience, geographic locations, and market conditions, as well as to reflect F5’s differing products, industries, and lines of business. The pay range referenced is as of the time of the job posting and is subject to change.
