We are seeking a highly proactive and detail-oriented Executive Assistant to provide confidential, comprehensive administrative and operational support to the SVP of People HR Management/Enterprise Services Management & Operations. This role is critical in maintaining the executive's efficiency across HR, Operations, and Finance functions.
Executive Calendar Management: Master and maintain the SVP’s complex and dynamic calendar (Outlook/Excel), managing multi-time zone scheduling, logical cadences, and travel logistics.
Travel & Expense: Coordinate all domestic and international travel and accurately process Travel & Entertainment (T&E) reports per policy.
Communication & Liaison: Act as the primary liaison, handling confidential written and verbal correspondence. Follow up on management assignments and provide timely status reports to the SVP.
Meeting & Event Coordination: Orchestrate end-to-end meeting logistics (including complex all-hands and virtual/hybrid setups), preparing technical requirements, presentations, agendas, and meeting minutes.
Event Planning: Organize and manage onsite/offsite events, including vendor negotiation and strict budget adherence.
Operational Support: Manage documentation systems, update organizational charts/distribution lists, handle office space planning, and maintain records per retention policies.
Reporting: Prepare complex reports, conducting necessary research, drafting content, and creating computer graphics.
Problem Solving: Must be able to anticipate needs and problem-solve on the spot to ensure seamless operational flow.
To succeed in this role you must have the following:
Experience: Minimum 5 years of progressive administrative experience, with at least 3 years directly supporting a senior executive (VP/SVP level).
Education: Graduate of a 4- or 5-year College/University program.
Desired Qualifications:
Exceptional English Communication: Verbal and written, with strong composition and editing skills
High Proficiency: Expert in Microsoft Office Suite (Outlook, Excel, PowerPoint).
Discretion: Proven ability to handle highly confidential People/HR information.
Probing & Comprehension: Excellent listening and probing skills to quickly gather and clarify information.
Schedule: Willingness to work a night shift to align with US business time zones.
Work set-up: Willing to work on hybrid setup (10-11 days in office per month, Cubao or Ortigas)
