Opportunity

Relation is seeking an experienced and highly capable Executive Assistant to support members of its Leadership Team. This is an important and fast-paced role that requires excellent organisational skills, discretion, and professional communication. The successful candidate will be influential in ensuring that the Leadership Team’s time, energy and presence is focused on the areas that make the biggest impact for Relation and, ultimately, patients.

This person in this role will report to the Director of People and also work closely with the Senior EA and Head of CEO Office. The nature of the role responsibilities mean you will usually work from our offices 5 days per week.

Role responsibilities

  • Manage complex and dynamic calendars, scheduling meetings and coordinating logistics, including visitor registrations.

  • Act as a liaison between the leadership team and stakeholders, maintaining a high level of professionalism and confidentiality.

  • Proactively monitor and manage email correspondence, prioritising and responding as appropriate.

  • Arrange international and domestic travel, including flights, accommodation, and itineraries.

  • Support in the preparation and finalisation of presentations, reports, and documents, ensuring accuracy and timely delivery.

  • Maintain and improve internal administrative processes, ensuring efficiency and attention to detail.

  • Support with expense recording.

  • Prepare agendas, take minutes, and ensure follow-ups are actioned as required.

Professionally, you are:

  • Experienced at supporting multiple senior stakeholders in an office environment and prioritising competing priorities.

  • Proactive, highly organised, reliable and have excellent attention to detail.

  • Able to use initiative to solve problems, anticipate needs, and add value through your contributions.

  • Discreet and trustworthy when handling sensitive or confidential materials and information.

  • Able to build strong relationships with executives, colleagues and external contacts.

  • Skilled at communicating clearly and effectively at all levels, including managing expectations and delivering difficult messages with tact.

  • Confident with multi-tasking and adapting priorities in a fast moving environment.

  • Proficient in writing and IT skills. We typically use Google Suite, plus other softwares.

  • Permitted to work in the UK.
