In pursuit of this mission, our Recruiting team is responsible for finding, assessing, and hiring exceptional talent across various fields and specialties. The team acts as consultative partners to our leaders across the organization, from technical managers up to our CEO, Sam Altman. We’re an established, collaborative team with a balance of structure, process, and ambitious problems to solve for.

About the role

We’re seeking a Recruiting Coordinator to join our team, focusing on the logistics and coordination of recruiting efforts for the Recruiting organization. This role will involve close collaboration with recruiters, sourcers, interviewers and hiring managers. You will primarily be responsible for scheduling interviews, managing the logistics of onsite interviews, and supporting a seamless candidate experience. This role is a nonexempt, hourly position based on a 40-hour workweek with potential for overtime earnings.

In This Role, You Will:

  • Take ownership of the scheduling process, end to end, for evergreen and opportunistic hiring needs.

  • Act as a partner for recruiting ops problems and help us find solutions through a mix of data, tools, and collaboration.

  • Greet candidates onsite in the office to provide a welcoming interview experience.

  • Be the primary scheduling and interview planner for various Recruiters and Hiring Managers across our teams.

  • Use our tools like Ashby, Guide, ChatGPT, G-Suite, and others to uphold a timely and positive hiring experience and process.

  • Have the ability to problem solve and adapt to an ever-changing environment while maintaining confidentiality and discretion.

  • Manage clear, concise, timely, and professional communication with candidates and hiring partners in written and verbal form.

  • Handle candidate reimbursement & travel (domestic and international).

  • Work with our Executive Operations team to support and improve candidate experience and management of senior and executive level candidates.

You Might Thrive in This Role If You:

  • Have 1–2 years of experience in calendaring, administrative, customer service, or recruiting coordination roles.

  • Exhibit a strong customer service-minded attitude and treat every candidate with care.

  • Exhibit strong professional written and verbal communication skills.

  • Are highly organized and able to prioritize tasks while adapting to changing demands.

  • Have experience with tools such as Guide, Ashby, ChatGPT, Navan, Visitly, and Ironclad.

  • Are detail-oriented and proactive in addressing challenges.

  • Possess a collaborative mindset and a willingness to enhance coordination processes.

  • Use discretion when working with senior and executive level candidates.

Location and Workplace

This role is based in San Francisco, CA and we offer relocation assistance to new employees.

Our offices use a hybrid work model: three days in the office per week with optional work from home on Thursdays and Fridays. Our open-plan offices have height-adjustable desks, conference rooms, phone booths, well-stocked kitchens full of snacks and drinks and more.
