We are looking for a highly motivated Travel, Meetings & Events Analyst to learn and grow within a fast-paced organization. The position of Travel, Meetings & Events Analyst involves being part of a fast-paced organization and playing a crucial role in ensuring smooth operations, cost-effectiveness, and driving Okta's culture and people-first initiatives.

What you’ll be doing

  • Assist with travel booking, questions, and troubleshooting OBT (Online Booking Tool) and M&E (Meetings & Events) tools: Provide support to employees regarding travel bookings, address inquiries, and help troubleshoot any issues related to the OBT and M&E tools.
  • Provide guidance and instruction to employees regarding Travel, Meetings & Events. This may include providing information on company policies and procedures.
  • Triage Travel, Meetings & Events outreach channels: Manage various communication channels related to travel, meetings, and events, ensuring inquiries and requests are appropriately prioritized and addressed.
  • Manage travel booking exceptions: Handle exceptions that may arise during the travel booking process, ensuring they are resolved efficiently and effectively.
  • Provide various reports to internal customers as needed: Generate and deliver reports to internal stakeholders as required, providing insights and data related to travel, meetings, and events.
  • Provide general training on the OBT and assist with tool maintenance: Conduct training sessions to educate employees on how to use the Online Booking Tool effectively. Additionally, assist with the maintenance and upkeep of the tool.
  • Project Management and Collaboration: Expertise in utilizing Asana for comprehensive project planning, task delegation, and seamless team collaboration. Adept at creating, tracking, and managing project milestones and deliverables.
  • ServiceNow case management: Utilize the ServiceNow platform for case management, ensuring that issues and requests are properly tracked, documented, and resolved.
  • Stay updated with industry trends, emerging technologies, and best practices in travel, meetings, and events management: Continuously enhance knowledge and expertise by staying informed about industry trends, emerging technologies, and best practices in the field of travel, meetings, and events management.
  • Perform ad hoc projects as needed: Undertake additional projects or tasks as assigned, contributing to the overall success of the Travel, Meetings & Events team.

What you’ll bring to the role

  • College degree in hospitality management, event management, business administration, or a related field: Possess a relevant degree or educational background related to hospitality management, event management, business administration, or a related field.
  • Demonstrate the capability to comprehend and retain company policies and adhere to them while executing responsibilities.
  • Possess strong communication skills, both written and verbal, to effectively interact with employees and stakeholders.
  • Exhibit exceptional organizational abilities and time management skills to handle multiple tasks, prioritize effectively, and meet deadlines.
  • Ability to work independently in a fast-paced, dynamic setting while maintaining accuracy and delivering against deadlines: Work autonomously, demonstrating the capacity to thrive in a fast-paced and dynamic work environment while maintaining attention to detail and meeting deadlines.
  • Motivated to work cross-functionally in a customer service-oriented capacity: Display motivation and enthusiasm to engage in cross-functional collaboration, particularly in a customer service-oriented role.
  • Knowledge of OBT, M&E, and program management systems (Navan, CVENT, Bizly, ServiceNow, Asana) from an end-user and administrative perspective: Possess familiarity with Online Booking Tools, Meetings & Events systems, and program management systems like Navan, CVENT, Bizly, ServiceNow, and Asana, both from an end-user and administrative perspective.
