About the role
We’re seeking a part-time People Operations Specialist to support our US-based team (approximately 40 employees), primarily located in Massachusetts, with additional team members in Texas, DC, and Illinois. This role is perfect for an HR professional who thrives in a flexible environment, is comfortable managing systems without an HRIS, and has a knack for staying organized and proactive.
In addition to U.S. support, you will also assist with basic people operations functions for our Europe-based employees (approximately 40 staff), primarily by ensuring employee data is accurate for payroll processing and by responding to general HR inquiries. This will not include direct payroll processing.
What You Will Do
- Employee Data Management (US & Europe): Maintain and update employee records in well-organized file systems to support payroll processing and compliance. Ensure timely and accurate data handoff to payroll teams, especially for European staff.
- Benefits Administration (US): Manage and support our benefits platform (bSwift), including enrollments, changes, and employee communications. Partner with HealthEquity and other vendors as needed.
- Employee Support (US & Europe): Respond to employee inquiries regarding benefits, time off, pay, and employment policies—primarily in Massachusetts and across the U.S., with light support for Europe-based staff on HR topics (excluding payroll execution).
- System & Vendor Coordination: Oversee key vendor relationships (ADP, bSwift, HealthEquity), ensuring systems are accurate, updated, and aligned with business needs.
- Compliance & Record-Keeping: Maintain up-to-date employment records in line with local and multi-state legal requirements. Ensure secure documentation practices without reliance on an HRIS.
What You Should Have
- Proven experience with ADP and bSwift platforms (required)
- Familiarity with HealthEquity, DUA/government portals (strongly preferred)
- Solid understanding of Massachusetts employment law and multi-state HR operations
- Comfort supporting international teams (especially in Europe) on HR data and employee needs
- Strong attention to detail and an organized approach to record-keeping
- Excellent communication skills and comfort working independently
