Introduction

This part time Executive Assistant will provide administrative support to one or more executives. May coordinate/complete the following in a timely manner: travel, expense management, management of calendars, onsite or remote events, taking minutes from meetings, prioritizing actions, reviewing data, organizing content, and other related tasks. Is seen as the go-to person to reach the executive and may help manage flow of communication (social media posts, organize email, etc). May be responsible for location related specific tasks (coordinating supplies, responsible for visitor check-in, arranging meetings for internal/external guests, organizing time at conferences, coordinating speaking arrangements or other public relations topics). Will be assigned other duties as needed. May exercise discretion in related topics and operate with a level of independence after gaining trust with the executive. May be responsible for managing workflows, coordinating role based access, etc.

Job Responsibilities

  • May be responsible for coordinating projects ranging in scale size, from small to moderate complexity
  • May support multiple executives with administrative support and project coordination
  • Accountable for high quality execution which includes responsiveness and attention to detail
  • Able to break down and execute on projects into tasks
  • Demonstrates solid judgment in partnering with executives by displaying diplomacy and maintaining confidentiality
  • Seeks ways to simplify and streamline communication, processes and deliverables.
  • Effectively represents the assigned executives when coordinating work on their behalf i.e. calendar management, travel, etc

Knowledge and Experience

  • Proactively applies knowledge to solve problems​.
  • Have effectively supported global C-Level executives for 10+ years
  • Strong domain knowledge of global time zones, travel, logistics, coordination
  • Ability to communicate clearly and succinctly
  • Strong organizational skills
  • Preference for knowledge of Tech industry
  • Ability to work independently and follow directions from assigned executives
  • Building business acumen and has a general understanding of the fundamentals of business success​.
  • Professional and calm demeanour
  • Ability to adapt and be flexible in handling C-Level engagements
  • Familiar with Microsoft Office and related systems
  • Expected travel 10-25%

Education

Strong desire for undergraduate degree in a related field. Requires 5+ years as executive admin experience.
