We’re looking for a Executive Assistant based in Toronto or the surrounding region. The Executive Assistant will support our CEO and the broader leadership team. This role combines professional administrative duties with personal support tasks to maximize the CEO and broader leadership team's efficiency and effectiveness.

This role must be based in Toronto and the applicant must be able to commute on an as-needed basis between downtown Toronto, Greater Toronto Area, and Kitchener/Waterloo region.

What you’ll do (responsibilities)

  • Manage the CEO's calendar, including scheduling meetings, appointments, and travel arrangements

  • Handle email correspondence and phone calls, prioritizing and responding as appropriate

  • Prepare documents, presentations, and reports for meetings and events

  • Coordinate logistics for business meetings, conferences, and company events

  • Assist with expense reporting and basic bookkeeping tasks

  • Manage office supplies and maintain an organized workspace

  • Perform personal errands to support the CEO's productivity, such as:

    • Mailing packages and documents

    • Shopping for business or personal items

    • Arranging and delivering meals

    • Running miscellaneous errands in the Toronto area

  • Act as a liaison between the CEO and other team members, clients, and partners

  • Maintain strict confidentiality regarding all business and personal matters

What we’re looking for (qualifications)

The ideal candidate for this role should possess:

  • Bachelor's degree in Business Administration or related field preferred

  • 2+ years of experience as an executive assistant or in a similar role

  • Exceptional organizational and time management skills

  • Strong written and verbal communication abilities

  • Proficiency in Microsoft Office Suite and Google Workspace

  • Familiarity with project management and productivity tools

  • Ability to multitask and prioritize in a fast-paced startup environment

  • Discretion and professionalism in handling confidential information

  • Valid driver's license and access to a vehicle for running errands

  • Flexibility to occasionally work outside normal business hours

  • Knowledge of the Toronto area and local services

  • Experience in travel and expense management

  • Experience in event planning and coordination

  • Nice to have: Previous work experience at a fast-paced high-growth VC backed startup in a similar role.
