1. Role Title:

Specialist - Logistics

2. Department/Function:

Facilities & Operations - Logistics

3. Reporting Structure:

  • Reports to: Facilities & Operations – SCM Lead
  • Direct Reports: Individual contributor

4. Role Summary:

The Specialist - Logistics is responsible for managing the logistics operations related to the transfer of apheresis from clinical sites and hospitals to Immuneel manufacturing units, as well as the transfer of the final product to relevant patient units. This role ensures smooth coordination and compliance with operational standards, documentation procedures, and quality management systems within the logistics function.

5. Key Responsibilities:

  1. Work closely with the logistics lead to manage the transfer of apheresis from clinical sites to Immuneel manufacturing units and the final product from manufacturing sites to patient units.
  2. Maintain documentation in line with Immuneel’ s Quality Management System (QMS).
  3. Coordinate between Principal Investigators (PI), Single Points of Contact (SPOC), patient sites, cold chain partners, and manufacturing teams for the timely delivery or pickup of shipments.
  4. Oversee the validation of cold chain partners, packaging methods, and shipment routes to ensure compliance with quality standards.
  5. Train PI and hospital teams on the shipment and documentation processes, ensuring smooth operations.
  6. Plan shipments in collaboration with the manufacturing, commercial teams, and other cross-functional teams (CFT).
  7. Manage inbound, outbound, and transshipment activities while preparing related documents such as invoices and shipping records.
  8. Understand and manage international logistics, including liaising with Customs House Agents (CHA) for clearance of international shipments.
  9. Conduct root cause analysis (RCA) and failure mode effects analysis (FMEA) to identify service and operational failures and implement corrective actions.
  10. Develop and update logistics operating procedures to drive continuous improvement and compliance with industry standards.
  11. Conduct regular safety audits of logistics partners’ equipment.
  12. Reconcile invoices and bills related to logistics activities, ensuring clearances with cold chain partners.
  13. Be available to support 24x7 operations to meet the manufacturing requirements.

6. Primary Objectives:

  1. Ensure timely and compliant transfer of apheresis and final products, minimizing delays.
  2. Achieve and maintain seamless coordination between all stakeholders (clinical sites, cold chain partners, manufacturing, etc.).
  3. Ensure all logistics documentation is completed in line with QMS and regulatory requirements.
  4. Train PI and hospital staff on shipment and documentation processes to reduce errors.
  5. Continuously improve logistics operations and resolve issues efficiently to ensure patient safety and product quality.

7. Competencies Required:

  • Technical Competencies:
  1. Strong knowledge of logistics operations, including transportation, warehousing, and distribution.
  2. Understanding of cold chain management and associated packaging methods.
  3. Familiarity with customs clearance procedures and international shipping regulations.
  4. Ability to interpret and manage compliance documentation in line with QMS and regulatory standards.
  • Soft Skills:
  1. Communication: Excellent presentation and training skills to ensure clear communication across teams and stakeholders.
  2. Collaboration: Ability to work effectively in a cross-functional team.
  3. Problem-Solving: Ability to conduct RCA and FMEA to identify solutions to operational failures.
  4. Adaptability: Ability to operate in a fast-paced and dynamic environment.
  5. Action-Driven: Take initiative and ensure actions are executed on time, especially in critical operational scenarios.
  6. Attention to Detail: Ensure accuracy in documentation and logistics processes.

8. Qualifications:

  1. Advanced science or business degree.
  2. 2-10 years of experience in logistics, supply chain, or related operations.
  3. Strong experience in cold chain logistics and international shipping processes.
  4. Excellent proficiency in MS Office, Excel, and SAP.
  5. Military background (Non-Commissioned Officers) with logistics experience will be considered.

9. Working Conditions:

  • Role Type: Full Time and Onsite
  • Work Hours: 9:00 AM to 6:00 PM for the General Shift and 2:00 PM to 11:00 PM for the Post-Noon Shift (on a rotational basis). There will be two days off each week, which may not necessarily fall on a Saturday or Sunday.
  • Travel Requirements: Yes (Occasional travel for logistics coordination, site visits, or audits.)
