POSITION OVERVIEW:

We are looking for a friendly, responsible, and organized Receptionist/ Office Administrator to join our team. As the Receptionist, you will be responsible for all receptionist and administrative duties at the front desk of our San Jose office, ensuring that the reception area and office are professionally maintained. As Office Administrator, you will perform administrative tasks and services. Depending on the candidate’s preference, this position can either be part time (30 hours per week) or full time (40 hours per week) but will need to be on site 5 days per week. This position reports to the VP of Human Resources.

RESPONSIBILITIES:

  • Manage the front desk (answer the phone, send & receive packages, greet visitors) with an emphasis on representing the company in a friendly and professional manner
  • Receiving of shipments (receiving in purchasing system, distribution of items, tracking orders and following up on discrepancies)
  • Creating shipping labels and scheduling pickups for domestic and international sample shipments
  • Preserve and foster a collaborative, positive work environment and external reputation and model ethical conduct and inclusion throughout the organization.
  • Maintain company-wide calendar.
  • Manage main email account & process regular mail
  • Order, stock & maintain office snacks and beverages, plants, kitchen, office & cleaning supplies.
  • Plan, order, and set up business meals in office and, offsite
  • Keep kitchen, conference rooms and break room stocked & organized
  • Order team lunches
  • Maintain fully compliant workplace posters for all locations, including remote staff
  • Manage corporate credit card and reconcile receipts with monthly statements and maintain credit card expense reporting
  • Responsible for holiday décor
  • Responsible for scheduling truck maintenance & registration of company vehicles
  • Maintain relationships with outside vendors – cleaning services, water provider, supplies, etc.
  • Assist with planning employee events – holiday party, happy hours, earth day volunteering, etc.
  • Coordinate holiday food & toy drives
  • Create new hire files & maintain employee files
  • Coordinate travel arrangements for candidates & remote staff
  • Purchase gift & greeting cards for employee milestones
  • Conduct facility tours
  • Equip workstations for new hires
  • Miscellaneous research and tasks

MINIMUM QUALIFICATIONS:

  • 2+ years relevant experience
  • Positive, can-do attitude
  • Regular, reliable and predictable attendance
  • Excellent customer service skills
  • Proficiency in MS Office Suite
  • Proactive, showing initiative and the ability to work independently
  • Excellent communication skills, both written and verbal
  • Must be self-motivated as well as thrive in a team environment

COMPENSATION:

The hourly range for this job is $22.00 - $28.00, commensurate with experience.
