The Role
We are seeking a highly motivated, proactive, and exceptionally organized Executive Assistant to provide primary, dedicated support to our Chief Scientific Officer (CSO). In this role, you will serve as a trusted partner to the CSO, providing high-level operational support to maximize their effectiveness and facilitate the smooth operation of the scientific leadership team. You will be a trusted partner, handling confidential information with the utmost discretion and serving as a key liaison between the CSO and a wide range of internal and external stakeholders.
As a core member of our Executive Support Team, you will also provide support to other members of the Executive Leadership Team (ELT), contributing to a culture of teamwork and shared success across the organization.

What You’ll Do
- Strategic Calendar Management: Proactively manage and maintain the CSO's calendar, demonstrating foresight to anticipate conflicts, prioritize engagements, and ensure strategic objectives are met.
- Seamless Executive Operations: Coordinate all aspects of travel, manage expense reporting, and prepare comprehensive materials and agendas for meetings, ensuring the CSO is well-prepared for all engagements.
- Communication & Stakeholder Engagement: Serve as the primary point of contact for the CSO's office, expertly fielding inquiries and professionally representing the company to senior leadership, board members, key collaborators, and other external partners.
- Meeting & Event Coordination: Oversee the planning and execution of key departmental meetings, scientific symposia, and team events. This includes managing logistics, preparing materials, attending meetings to record minutes, and diligently tracking action items to completion.
- Collaborative Team Support: Work in close partnership with the Executive Support Team to provide excellent service across the entire ELT, assist with shared responsibilities such as the main phone line and mailroom, and contribute to projects that enhance departmental efficiency.
Qualifications You Possess
- A Bachelor’s degree with 3-5 years of experience providing administrative support to C-level or senior-level executives.
- Experience in a fast-paced biotechnology, pharmaceutical, or life sciences environment is strongly preferred.
- Expert-level proficiency in the Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Demonstrated ability to handle confidential information with the highest degree of discretion and professionalism.
Base Salary Range: $100,000 - $110,000/year
