As the Executive Assistant to the CSO and senior scientific leaders, you will play a critical role in ensuring the smooth and efficient operation of our scientific leadership team. You will be responsible for providing high-level administrative support, managing calendars, coordinating meetings and events, and handling confidential information with the utmost discretion. Your exceptional organizational and communication skills will be essential in enabling our scientific leaders to focus on their strategic objectives.

Key Responsibilities:

As the Executive Assistant, you will be responsible for:

  • Manage complex calendars for the CSO and senior scientific leaders, scheduling meetings, appointments, and conference calls, and proactively resolving scheduling conflicts.
  • Arrange and coordinate travel, including flights, accommodations, and itineraries.
  • Prepare and organize materials for meetings, presentations, and conferences, ensuring that all necessary documents are readily available.
  • Act as the primary point of contact between the CSO and internal/external stakeholders, including senior leadership, board members, and collaborators.
  • Assist with email correspondence, drafting and editing documents, and managing information flow to and from the CSO.
  • Attend meetings and record minutes, tracking action items and following up on outstanding tasks.
  • Handle confidential and sensitive information with discretion and maintain confidentiality at all times.
  • Assist in the preparation of budgets, expense reports, and financial documentation as needed.
  • Help plan and coordinate departmental events, including team meetings, workshops, and scientific symposia.
  • Collaborate with other administrative professionals to streamline processes and improve departmental efficiency.
