Who you are
You understand that by supporting the executives and being hands on with the office space and environment, you can have a huge impact on the success of the company, and you are driven to provide this support. You’re highly organized, a quick learner, have exceptional time-management skills, and have experience working with many different styles. Reporting into the COO, you will keep our team and office spaces running as efficiently as possible by offering your personalized and timely support to the R&D executives and other executives as needed, and managing the day to day office needs. You are flexible and adaptable and thrive in a sometimes hectic environment, and you are able to identify and solve complex problems involving the coordination of various leaders and offices. Ideally, you have experience in the biotech industry, and working with scientific teams, helping to coordinate priorities with the leadership team across internal teams, board members, investors, and partners.

What you'll be doing:

  • Take ownership of administration for our R&D executives. Specifically, supporting the CSO, CTO and CIO in their day to day activities, including calendar management, booking travel, supporting logistics of business meetings, planning and booking off sites, and keeping them in the loop on upcoming commitments and responsibilities
  • Act as the first point of contact for meeting commitments for the executives you support; understand content and priorities to coordinate agendas for effective time management of all involved
  • Partner closely with internal stakeholders, including People Operations and Lab Operations, identifying gaps/opportunities for improvement and suggesting innovative ideas to improve the efficiency of communication and operations of the executive team and their functions
  • Supporting the offices in Boston and Toronto with office management and tasks, including keeping office and kitchen supplies stocked and organized, managing relationships with office supply vendors, receiving packages and mail, and welcoming guests
  • Building efficiencies in ordering and supply maintenance, ensuring effective fiscal decision making while providing a supportive work environment
  • Organizing and leading company events throughout the year including all hands and quarterly company events; providing board support during quarterly and ad-hoc meetings

What you bring:

  • Minimum of 2 years of direct Executive Assistant experience
  • Prior experience partnering with R&D leadership within the biotech industry preferred
  • Exceptional organizational skills, strong written and verbal communication skills, and impeccable attention to detail
  • Experience with organizations focused on AI/Machine Learning in the biotech space, relevant education, or some combination thereof, preferred
  • Demonstrated flexibility and professional maturity to readily understand priorities and anticipate needs
  • Expert knowledge of Microsoft Office, Google Suite, Slack and Apple products
  • Significant experience multitasking and keen ability to calmly and professionally prioritize urgent tasks that require quick turnaround
  • Experience in Executive-office setting
  • Ability to travel between the US and Canadian offices
