Job Description

Job Summary:

The HRIS Manager is responsible for the implementation, maintenance, and continuous improvement of the company’s HRIS system, UKG. This role ensures the seamless integration and optimization of the UKG platform to enhance HR operations, drive data-driven decision-making, streamline HR processes, and improve user experiences. This position must have a specific subject matter focus on the UKG Workforce Management / Dimensions, Onboarding, People Assist, and Document Manager modules.

We’re looking for an HRIS Manager with deep UKG Workforce Management experience - specifically with a Kronos background - someone who believes in clean, clear, and simple data structures, that the quality of the input derives the quality of the output, and that all processes are better with automation. This role reports into IT, with a dotted line into HR, as the primary customer and stakeholder of the UKG system.

Key Responsibilities:

  1. System Management:
    1. Oversee the day-to-day operations of the UKG WFM, Onboarding, People Assist, and Document Manager modules, ensuring data integrity, security, and compliance with relevant regulations and policies.
    2. Manage system upgrades, troubleshooting, and maintenance to ensure optimal performance and minimal downtime, including impact summary to key stakeholders.
    3. Maintain SOPs for modules under ownership.
  1. Business As Usual:
    1. Review and respond timely to People Assist tickets daily for modules under ownership - UKG WFM, Onboarding, People Assist, and Document Manager.
    2. Intake feedback from key stakeholders to review with management and determine where deliverables fall on the sprint list.
    3. Attend bi—weekly HR Systems Sprint Meetings to ensure alignment with assigned deliverables and report on progress made.
    4. Build, test, maintain, and amend configurations whether time off, timecard, onboarding, or document related.
    5. Regularly audit the system to ensure functionality is in line with the configurations and expected behaviors.
    6. Troubleshoot problems that arise and ensure a complete solution is delivered to the stakeholders.
    7. Build and maintain reports for HR to access and run.
  1. Project Management:
    1. Lead UKG WFM, Onboarding, People Assist, and Document Manager-related projects, from conception through implementation, testing through go live, ensuring they are delivered on time, within scope, and budget.
    2. Coordinate with external vendors and consultants as needed for system implementation and support.
  1. Process Improvement:
    1. Identify opportunities to enhance HR processes through technology, automation, and best practices.
    2. Drive process improvement initiatives to increase efficiency, reduce costs, and enhance the employee experience.
  1. Data Analytics and Reporting:
    1. Develop and implement data analytics and reporting strategies to provide actionable insights to HR and business leaders.
    2. Ensure accurate and timely data management within HR systems, supporting data-driven decision-making across the organization.
  1. User Support and Training:
    1. Oversee the development and delivery of training programs for system users.
    2. Provide ongoing support to system users, addressing issues and ensuring user satisfaction.
  1. Partnership:
    1. Deliver exceptional and prioritized customer service to HR as the primary stakeholder of the system. This includes ensuring prompt responsiveness to inquiries and fostering a collaborative partnership to achieve the success of both teams.
    2. Manage relationships with technology vendors and service providers, ensuring effective partnerships and service delivery.

Requirements:

  • Minimum 8 years of UKG WFM with Kronos experience.
  • Strong understanding of HR processes, policies, and best practices.
  • Experience with data analytics, reporting tools, and techniques.
  • Demonstrated ability to prioritize, deliver, and manage complex projects.
  • Track record of successful system implementations.
  • Excellent analytical, problem-solving, and decision-making skills.
  • Strong communication and interpersonal skills, with the ability to collaborate effectively with stakeholders at all levels and convey technical information to non-technical stakeholders.
  • Knowledge of data privacy regulations and HR compliance requirements.
  • Proficient with Microsoft Office Suite (Excel, Powerpoint is a must) or similar software.
  • Proficient with process documentation and program / timeline management for project implementations.
  • Strong vendor management capabilities.
  • Excellent organizational and time management skills.
