Job Description

Who You’ll Work With

In this role, you will collaborate cross-functionally with Procurement, Finance, and IT Support teams to align on asset lifecycles and lab equipment spending. You will act as the primary liaison for Customs House Agents (CHAs) and Customs officials to manage global trade compliance, while coordinating daily with courier partners and transporters for domestic movement. Additionally, you will partner with Engineering and Facility teams to ensure seamless hardware deployment and maintain high inventory accuracy across all business units.

What You’ll Do

  • Imports/Exports: Handling imports and exports, including pre- & post-documentation & coordination with CHA & the Customs department for shipment clearance in timely manner
  • Domestic Logistics: Taking care of Domestic asset movement between interlocations, OEMs, partners & suppliers.
  • Asset Lifecycle Management: Oversee end-to-end lifecycle of hardware assets, including receiving, tagging, deployment, maintenance, refresh, and disposal.
  • Inventory Accuracy: Maintain precise records of asset location, ownership, and status using the Software Tool
  • Coordination: Coordinate and monitor daily logistics operations, including pickup, transit, and delivery, ensure error-free documentation, and have knowledge of HSN across countries. Work closely with the Customs House agent (CHA), courier partners, transporters & and office facility team to ensure smooth dispatch and timely delivery.
  • Follow up: Track shipments through dedicated portals and provide timely updates; demonstrate strong follow-up and coordination skills to ensure closure of all logistics activities.
  • DSR: Maintain and update the Daily Status Report (DSR) accurately.
  • Documentation: Should be able to generate letters like commercial shipping invoices, BIS waiver, Merit, and End-use letter. Handle shipment processing tasks such as label generation, dispatch, and documentation. Possess knowledge of E-way bill generation and related compliances.
  • SOP: Developing the store and logistics SOP to ensure smooth operation.
  • Process Coordination: Collaborate with procurement, logistics, and IT support teams to ensure timely, compliant handling of assets.
  • Refresh & End-of-Life Support: Facilitate hardware refresh cycles and coordinate end-of-life activities in alignment with company policies and environmental standards.
  • Compliance & Reporting: Support internal and external audits by providing accurate asset data and documentation. Generate reports for stakeholders as needed.
  • Stakeholder Communication: Act as a liaison among Hardware, procurement, and business units to ensure smooth asset operations and proactively resolve issues.
  • Cost Management and Optimization: Monitor and control costs, identify cost savings and process efficiencies
  • Lab procurement: Supporting / driving lab equipment procurement for CapEx and OpEx items with best cost structure
  • Overall: Monitor TAT, taking proactive measures to resolve potential delays, exhibit high levels of punctuality, ownership, and accountability in all tasks.

Qualifications

  • Strong understanding of logistics and inventory management systems.
  • Should know BIS, Import License, DSIR, and customs declaration letters.
  • Basic technical knowledge of IT, Product hardware
  • Strong verbal and written communication skills. Proficiency in Excel/Google Sheets (pivots, lookups).
  • Ability to manage multiple priorities and work cross-functionally.
  • Strong understanding of Global & Pan-India logistics operations & Terminologies.
  • Willingness to learn and adapt to new processes and technologies.
  • Capable of handling time-bound shipments and working effectively under pressure.
  • Demonstrates flexibility, transparency, and adaptability in a dynamic work environment.
  • Should have knowledge of STPI,SEZ compliance & documentation process.
